POLITE WAYS OF MAKING CALLS TO CUSTOMERS FROM AN ORGANISATION
You will be given the before, during and after of making calls out of an organisation to customers to attract more patronage.
BEFORE THE CALL
• Make notes of what you would like to discuss including times dates, telephone numbers, addresses. Have all your information ready. Prepare questions if you need to. Get yes/no ready so that you strike one off.
• Have ready a plain sheet of paper to take notes
• Identify the person you are speaking to
• If possible, phone at off-peak periods to save cost
• Dial the correct number
DURING THE CALL
• Give a greeting and state the name of the person you want to speak to
• Keep the conversation brief
• State the subject
• Pause for feedbacks if necessary
• Take notes if necessary using phrases, abbreviations
• Summarize the main points and agreements (resolutions). Repeat it to the receiver to ensure that his notes are correct
• If you must leave a message, be clear, loud and precise. If there is need to spell words, use familiar correlations
• Be polite
• Press your staop button as soon as you end the call. You need to be finance conscious
AFTER THE CALL
• Look over your notes
• Make the notes
• Fill your diary
• Pass on actions, notes and messages if necessary
